Responsibilities

Position Overview
The Office Coordinator is a key contributor to the management and operations of Bottom Line’s Jamaica Plain office in Boston, MA. The Office Coordinator will be responsible for providing excellent customer service to callers, visitors, and fellow Bottom Line staff members. The Office Coordinator will also be responsible for a range of program, basic IT support, and operations projects.

 

Job Responsibilities:

Communication (30%)

  • Deliver best-in-class support to all members of the Bottom Line community by answering questions, directing them to the appropriate parties, and/or taking detailed messages
  • Maintain a welcoming environment as the primary front desk staff person
  • Manage student sign-in process and have knowledge of students in the office at all times

 

Program Support (20%)

  • Monitor counselor schedules, track student attendance with missed meeting notes, and manage reminder text messages; assist College Success students in finding/reaching their counselors on campus
  • Manage inventory of materials for student meetings (ex. organizing files, printing labels, creating student packets, etc.)
  • Support other program-related work, including events and special projects

 

Office Management (20%)

  • Oversee all common areas to help maintain the professional appearance of the Jamaica Plain office
  • Order and receive office supplies; manage inventory of all supplies
  • Accept and distribute packages and mail deliveries
  • Maintain relationships with facilities personnel
  • General administrative support, including updating staff rosters, ordering food for events, etc.

 

IT Support (15%)

  • Serve as the Jamaica Plain technology point person for all IT issues, troubleshooting where appropriate and contacting vendors as needed
  • Maintain relationships with National Team IT support
  • Ensure computers in resource room are functioning and ready for use each day
  • Manage sign-out process for spare laptops and other technology in the Jamaica Plain office

 

Part-Time Staff Management (15%)

  • Manage 1-2 part-time Office Assistant(s) who are often Bottom Line college students and Alumni
  • Manage hiring and training for new Office Assistants in Jamaica Plain, providing ongoing coaching on their performance and skills
  • Ensure that Office Assistants are consistently providing excellent customer service to staff, students, and other outside callers/visitors
  • Create a supportive, positive work environment by being available and approachable, and providing management and support that meet the needs of each individual team member

Qualifications

  • A bachelor’s degree and work authorization required
  • 1-2 years of work experience in a data-driven and process-driven organization
  • Exceptional attention to detail
  • Strong customer service skills
  • Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook
  • Ability to identify problems and find solutions
  • Demonstrated commitment to Bottom Line’s mission and core values
  • Experience working with diverse team
